This policy explains what personal information PersonalWeddingWebsite.com collects, why we collect it, how long we keep it and the choices you have. It covers this website and the wedding websites we build and host for couples.
Who we are
PersonalWeddingWebsite.com designs and hosts personal wedding websites in the United Kingdom. For this website and for orders placed with us, we are the data controller.
On a couple’s wedding website, the couple decide what is published and what guests are asked for. For guest information collected there (such as RSVPs, photos and guestbook messages), the couple are the controller and we process that information on their behalf so the site can work.
You can contact us about privacy at any time using our contact page.
Information we collect from customers
When you order: your names, email address, phone number if given, wedding date, venue, chosen web address and the features you buy.
To build your site: the wedding details, text, photos, main page image and preferences you send us through the details form or your couple admin panel.
Passwords: the guest password and couple admin password for your site. We include them in your “site is live” email so you have them to hand, so please keep that email safe.
Payments: card payments are taken by Stripe. We never see or store your full card details. Stripe tells us whether a payment succeeded, the amount and a reference.
When you contact us: the details you enter in our contact form, such as your name, email, wedding date and your message.
Information collected from wedding guests
Depending on the features a couple choose, guests may give their name, email address, whether they are attending, the names of other guests in their party (and an email address for each if they choose), menu choices, dietary requirements or allergies, a song request, guestbook messages, and photos or videos they upload.
Dietary and allergy information can reveal health details. It is collected only so the couple and their venue can cater for guests, and is shown only to the couple.
Couples with the couple admin panel see RSVP replies there and can email guests who gave an email address, for example to send updates to everyone who is coming. Couples without the admin panel receive each RSVP reply by email.
Guest photos, videos and guestbook messages can be seen by the couple and, where the couple have enabled it, by other guests visiting the site. Couples can show guest photos on a screen at their venue using the live photo wall, and can download photos, videos and guestbook messages.
If a guest chooses to add the wedding to their calendar, the event details are sent to the calendar service they pick (such as Google or Outlook). We do not share any other information with those services.
Information collected automatically
When you use our websites, our server records technical information such as your IP address, browser and the time of your visit. We use this to keep the sites secure: for example to block repeated wrong passwords, to limit spam on forms, guestbooks and RSVPs, and to keep a record of admin sign-ins.
How we use information
To build, host, maintain and improve your wedding website and provide the features you paid for.
To take payment, send receipts, invoices and order updates, tell you about planned maintenance or changes that affect your site, and email you before your hosting ends.
To reply to your enquiries and provide support.
To keep our websites secure and protect them from misuse.
To understand how visitors use PersonalWeddingWebsite.com so we can improve it.
We do not sell personal information, and we do not use guest information for marketing.
Our lawful bases
Contract: to provide the website and services you order from us.
Legitimate interests: to run, secure and improve our business and websites, and to answer enquiries.
Consent: for analytics cookies on PersonalWeddingWebsite.com, and where guests choose to share optional information such as dietary needs.
Legal obligation: to keep financial records.
Cookies and similar technology
Essential cookies keep you signed in: to the admin areas, to a couple’s admin panel, and to a password-protected wedding site once a guest has entered the password. These are needed for the sites to work.
PersonalWeddingWebsite.com uses Google Analytics to count visits and see which pages are popular. Google Analytics sets cookies and processes information such as your approximate location, device and the pages you view.
Your basket is saved in your own browser for up to 30 days so it is still there if you come back. Wedding websites save small items in the guest’s browser, such as an RSVP already sent, so guests don’t have to repeat them. Notices you close on our websites are remembered the same way.
You can clear or block cookies and stored data in your browser settings at any time.
Who we share information with
Stripe, to take payments.
Our hosting provider, DreamHost, which stores the websites, files and data on our behalf. Some of its servers are in the United States.
Our email provider, to send order, account and RSVP emails.
Google, for website analytics on PersonalWeddingWebsite.com only.
Domain registries, which need the registrant details for your web address.
Where information is transferred outside the UK, we rely on the safeguards those providers use, such as the UK International Data Transfer Addendum or the UK–US Data Bridge.
Search engines and privacy of wedding sites
Wedding websites are set so that search engines do not index them. Anyone with the address can still visit a site unless the couple add password protection.
How long we keep information
Wedding websites, guest RSVPs, photos, videos and guestbook messages are kept for the hosting period you bought (one year with the Essential Site, plus any extra years). When hosting ends, the site and its content are deleted. We email you a week beforehand so you can download anything you want to keep.
Order and payment records are kept for six years to meet UK tax and accounting rules.
Contact form messages are kept for up to two years unless they relate to an order.
Security records, such as sign-in attempts and spam limits, are kept only as long as needed, normally no more than a few months.
Your rights
Under UK data protection law you can ask to see the information we hold about you, have it corrected or deleted, restrict or object to how we use it, and receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time.
Guests who want information removed from a wedding website can ask the couple directly or contact us and we will pass the request on.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office (ico.org.uk). We would appreciate the chance to put things right first.
Security
Our sites use secure HTTPS connections. Admin areas and couple admin panels are password protected, with repeated wrong passwords blocked and sign-ins recorded. Server data folders are not publicly accessible, uploads are checked before they are saved, and access to customer information is limited to the people who need it.
Changes to this policy
We may update this policy from time to time, for example when we add new features. The date at the top shows when it last changed. If a change affects how we use your information in an important way, we will let you know.
